Managing Users and Permissions

DopeHub

Access Control is where you manage who can log into DopeHub and what they're allowed to do. Use it to invite your staff, assign roles, and set exactly which pages each person can see and edit across your company and your individual stores.

Opening Access Control

With All Stores selected in the store switcher, find Access Control under Admin in the left navigation and select it.

You'll need Access Control permission to manage users, typically a Super Admin or another admin-level role.

What You'll See

The top of the page shows three quick counts:

  • Active Users: people who can log in right now (with your total user count below).
  • Roles: how many roles you've defined.
  • Pending Invites: invitations sent but not yet accepted.

Below that are two tabs: Users (manage people) and Roles (manage what people can do).

Inviting a User

  1. On the Users tab, select Invite User.
  2. Enter the person's Email, First Name, and Last Name. Add a Phone number if you'd like: it's optional.
  3. Under Roles, select + Add and choose at least one role to assign. (A user needs a role, so the form won't be complete until you add one.)
  4. Select Send Invite.

The person receives an email to accept the invitation and set up their own password. Until they accept, they appear under Pending Invites and show an Invited status.

Don't see the role you need yet? Create it first (see Creating a Role below), then come back and send the invite.

Managing Existing Users

On the Users tab you can filter by status (All, Active, Invited, Deactivated), search for a specific person, and see each person's role and status on their card.

Editing a user

  1. On the Users tab, open the user you want to change to bring up Edit User.
  2. Update their First Name, Last Name, or Phone. (Their email is their login and can't be changed here.)
  3. Under Roles, select + Add to give them another role, or remove one they no longer need. A user can hold more than one role.
  4. Select Save Changes.

Deactivating a user

When someone leaves or no longer needs access, deactivate them rather than deleting. Their role assignments are kept but made inactive, so you can restore access later.

  1. On the user's card, select Deactivate.
  2. In the Deactivate User confirmation, select Deactivate again.

The person immediately loses access to DopeHub and moves under the Deactivated filter.

Understanding Roles

A role is a reusable bundle of permissions you assign to people, so you're not setting access person by person. Switch to the Roles tab to see the roles you've defined.

Each role card shows:

  • The role name and a short description.
  • A grants count: the number of individual permissions the role includes. A view-only role has few grants; a full-access role has many.
  • How many companies the role applies to.

Typical examples you might create: a Store Manager role with broad access to one store, or a Budtender role limited to just what a budtender needs.

Creating a Role

  1. On the Roles tab, select Create Role.
  2. Enter a Role name (for example, Store Manager) and a short Description (for example, Manage products and orders).
  3. Under Companies, select your company. It's listed here already; the + lets you add another if you manage multiple companies.
  4. Set the permissions for that company across two tabs:
    • Company Pages: account-wide areas such as Analytics, Orders, Notifications, Audiences, Notification Settings, Marketing Users, and Stores Info.
    • Store Pages: pick a store, then set permissions for that store's pages: Analytics, Info, Categories, Collections, Specials, App Sections, and Deeplinks.
  5. Select Create Role.

Setting permissions: Read, Create, Update, Delete

For each page, you choose any combination of four permission levels:

  • Read: view the page.
  • Create: add new items.
  • Update: edit existing items.
  • Delete: remove items.

This is how you build access that fits the person. Give someone Read only for a view-only role, or all four for full control. Tip: the checkbox at the top of each column turns that permission on for every page at once: a fast way to start broad and then trim back.

Assigning Roles

You assign a role when you invite someone, and you can change it anytime from Edit User (under Roles, select + Add or remove a role).

Troubleshooting

  1. I invited someone, but they're not showing as active. They stay under Pending Invites with an Invited status until they accept the email and set their password. Ask them to check their inbox (and spam).
  2. A user can't see or edit a page. Check the permissions on their role. They need at least Read to see a page, and Update (or Create / Delete) to change anything on it.
  3. Someone left the team. Deactivate them (see Deactivating a user). Their access is removed but their role history is preserved.
